What is Portfolio Manager?

Portfolio Manager is our best-in-class cellar management tool. You can manage your entire collection, whether it is stored with Bordeaux Index or elsewhere, and you can instantly view the performance of your wine and whisky.

The integrated portfolio management tool records, organises and values your wines and whisky, as well as enabling personalised annotations on assets stored externally. Use the grid to sort, filter, order your wines and whisky any way you wish - by region, producer, LiveTrade eligibility, % return etc. You can also export this view to excel quickly and simply.

Managing your collection is easy with ‘quick actions’ to arrange delivery, classify portfolios, organise storage and, of course, buy and sell through LiveTrade. While our website is still available to list, all wine and whisky (subject to LiveTrade conditions can now be added to the platform).

Where can I find Portfolio Manager on Bordeaux Index?

Once logged in to your account, you can begin exploring Portfolio Manager.

Portfolio Manager can be found in the top navigation of all homepages and can be found in the dropdown menu under your account icon (link). You can also navigate to Portfolio Manager through the LiveTrade Marketplace.

How do I start using Portfolio Manager?

To gain access to Bordeaux Index’s cellar management service, you need to sign up with an account here.

Once signed up, you will gain access to all our services and can begin using Portfolio Manager.

Can I view and manage my entire wine and whisky portfolio in Portfolio Manager?

Yes, Portfolio Manager is a comprehensive cellar management tool available 24/7. Our unprecedented system allows you to upload your entire portfolio, understand its value in real time and trade directly on LiveTrade, regardless of where your assets are professionally stored across the UK and Europe.

Can my Account Manager manage my portfolio for me?

Yes, your Account Manager can manage your account and portfolio for you. Get in touch with your Account Manager if you need any assistance and if you have any requests.

Is there a search function to help me quickly find specific wine and whisky in my portfolio?

Yes, use the search bar to search by producer, vintage and the location where your wine is stored. You can also sort and filter to view and manage your portfolio quickly.

What are Portfolio Categories?

Portfolio Categories allows you to categorise and add personal annotations to your portfolio so you can better manage your collection. You can categorise by, for example, ‘Investment Wines / Drinking Wines / Wedding Wines’ etc. When you set up your account, there are three categories automatically set up Drinking / Investment / Uncategorised.

To update your Portfolio Categories visit My Account > Portfolio Categories.

Once you have set up your categories, when you are adding a wine or whisky into your portfolio you can simply choose from the dropdown option Portfolio Category and it will automatically be added to this list.

Is the online portal compatible with different devices (e.g., desktop, mobile)?

Yes, Portfolio Manager can easily be viewed on desktop and tablet and is optimised for mobile.

Can I sort and filter my wine and whisky portfolio by region, varietal, or other criteria on the online portal?

We have made it as simple and quick as possible to view and manage your portfolio. In Portfolio Manager you can arrange to view the entire portfolio in numerous different ways.

Alternate Summary – arrange your account into different summaries eg. by Account, Location, Category, Producer, Country, Region, Year, Product.

Sort Summary by – sort your summary by Return (High to Low / Low to High), Cost (High to Low / Low to High), Value (High to Low / Low to High), Quantity (High to Low / Low to High)

Filter by – filter your summary by Items I am Selling / Items I am Buying / Items in BI Storage

Does Portfolio Manager provide information about the current market value or estimated worth of wines and whisky in my portfolio?

Yes, Portfolio Manager is the location to get insights around the real value of your portfolio.

Here, you can see the current value of wine and whisky in your portfolio, using our proprietary valuation algorithm, and you can view the market returns on your wine and whisky.

How does Bordeaux Index estimate the market value or estimated worth of wine and whisky in my portfolio?

The Bordeaux Index valuation is calculated from a wide set of proprietary and public data to give the most accurate and dynamic pricing available. It is shown on the Bid side of the market, reflecting expected proceeds / net value to you on sale.

Valuations are rigorously determined but there may be occasions on which they are based on older datapoints and therefore we urge caution when making trading decisions.

Can I compare the performance of different wines or regions in Portfolio Manager over time on the online portal?

Yes, by using the Alternate Summary function you can view your wine and whisky by region, vintage, producer etc. You can then filter this summary by Return/Cost/Value/Quantity to compare the performances of different assets.

Does Portfolio Manager offer any tools or recommendations for portfolio diversification?

While you can manage your collection online using Portfolio Manager, our wine and whisky experts are always on hand to assist and advise you if you’d like to diversify your portfolio.

Can I set price alerts or notifications for specific items or regions in Portfolio Manager?

If you would like to start a watchlist for wine or whisky, this can be done through our online trading platform, LiveTrade.

The LiveTrade Marketplace (link) is where you can view all the wine and whisky available to buy and sell and where you can see live prices on thousands of the world’s top wines and rarest whiskies. The marketplace can be viewed in various formats including LiveTrade+, Tight Spreads, Trending and My Trades.

The marketplace can be used to search for specific producers, regions and vintages and remains the most reliable place in the fine wine and whisky market to discover prices and trading spreads.

How do I set up Portfolio Manager with Bordeaux Index?

If you are already a customer of Bordeaux Index, the wine and whisky purchased through, held by and sold through Bordeaux Index are updated automatically in Portfolio Manager. Wines and whisky from external sources and storage require manual updating by the user where required.

If you are a new customer, sign up for an account using the link here. You will then gain access to your account where you can set up your preferences, add your delivery details, add your payment cards and input your wines and whisky into Portfolio Manager.

When you have an account, all products bought, sold or stored with Bordeaux Index will appear in your portfolio. If you would like to manage your entire portfolio (including those professionally stored elsewhere in UK or Europe) you can manually input these items and categorise them. When you navigate to Portfolio Manager you will see options Add to Portfolio / Export Portfolio / Arrange Delivery / FAQs / My Orders / LiveTrade. Everything you need to manage your portfolio is at the click of a button.

How do I change Portfolio Manager details?

To change your details in Portfolio Manager simply visit your account and update your details in any of the outlined sections. Eg. update your payment cards in ‘Saved Cards and Storage Payments’.

How do I set up Portfolio Manager categories?

Portfolio Categories allows you to categorise your portfolio so you can better manage your collection. You can categorise, for example, ‘Investment Wines / Drinking Wines / Wedding Wines’ etc.

Once you have set up your categories, when you are adding a wine into your portfolio you can simply choose from the dropdown option ‘Portfolio Category’ and it will automatically be added to this category.

To update your Portfolio Categories visit My Account > Portfolio Categories.

How do I change preferences?

Preferences allows you to update your account to highlight areas that you are most interested in eg. Bordeaux / LiveTrade Insights and allows you to organise display preferences eg. Currency. These options ensure your Account Manager will give you the right offers and gives you a more tailored experience, with suggestions that are specific to you.

In Preferences you can also set up all notifications you’d like to receive from your LiveTrade activity.

To change Preferences visit My Account > Preferences.

How do I change my alerts for emails?

To manage your account and set up the emails you would like to receive from Bordeaux Index and LiveTrade, visit Preferences.

Here you can set up the alerts you’d like to receive regarding your trading on LiveTrade and where you can sign up to receive tailored marketing emails and offers from Bordeaux Index and LiveTrade.

To change Preferences visit My Account > Preferences.

How can I see the status of my orders?

To view all of your orders, visit My Orders in Portfolio Manager and you can see the status of all of your purchases, sales and delivery instructions

Can I arrange and schedule deliveries directly from Portfolio Manager?

Yes, you can arrange deliveries and transfers of your wines and whisky directly from Portfolio Manager.

Where can I find my invoices?

All invoices for any buying or selling with Bordeaux Index can be found under the account icon, in Statement & Payment.

How can I see the status of my purchases?

To view the status of your purchases, you can view either through My Account or on LiveTrade.

If you are buying and selling on LiveTrade, you can view all of your completed trades and orders in the LiveTrade Marketplace under My Orders. (link) You can also view all of your bids and offers under My Trades.

Can you provide information about the storage conditions at Bordeaux Index?

We entrust this integral part of our service to Octavian, the "world's number one in fine wine storage" who use a state-of-the-art wine storage facility - the Colerne Reserve. We also have reserves in Hong Kong and Singapore.

Do you have a temperature-controlled cellar?

Octavian has set the standard for fine wine storage by committing to maximise the value of your wine. We want to give you the reassurance that your fine wine is being stored in optimum conditions and whether it's a case or your full cellar, each bottle will be cared for in the same way. So much so that all wine in your client reserves is insured by Bordeaux Index to the full replacement value.

The site boasts high security for your fine wine, it's heavily insulated to control temperature and humidity within the warehouse and uses LED lighting to eliminate the risk of UV rays and heat generated by conventional lighting, every detail has been covered with bespoke machinery handling the wine to ensure that the product is minimally disrupted from vibration once it is in place.

How do you track and manage inventory for clients?

We track and manage inventory for client alongside Octavian, the "world's number one in fine wine storage" who use a state-of-the-art wine storage facility - the Colerne Reserve.

At the facility, your stock will be checked by an assigned member of the Bordeaux Index team. Cases are checked in and out, logged and barcoded on receipt ensuring that each case is fully traceable, giving you the reassurance that your wine is in the best care possible. We also offer condition reports with photography of your wine, all of which is free of charge if you've purchased your wine through Bordeaux Index. For wine not bought from Bordeaux Index and not sold through LiveTrade or our website a charge of £5 per case photographed will be applied for any product removed from storage within 12 months.

We also offer a virtual cellar service, Portfolio Manager, for those who want to manage their cellar and keep up to date with their collection’s market returns. You can view your Bordeaux Index Reserves online 24/7 and arrange to deliver and sell your wines directly through our website whilst being on the go. We do everything to make the buying and selling of fine wine and whisky as easy as possible for our clients.

How do you handle shipping and delivery?

Bordeaux Index has specialised in high quality delivery for over two decades and can arrange delivery at a client’s request to any location (within specific import regulations). We have regular shipments and it is particularly easy to deliver to UK, EU, USA, Hong Kong and Singapore due to our overseas offices in these locations. Our Account Managers and Customer Service team are always on hand to assist with any delivery requests for our clients.

LiveTrade Marketplace – The LiveTrade Marketplace is where to view and search all of the wine and whisky available, where to place ‘Bids’ and ‘Offers’ and one of the places to ‘Buy’ and ‘Sell’ on LiveTrade

LiveTrade+ - LiveTrade+ list is a distinct list of wines which Bordeaux Index deems as a market making wine, those which exhibit liquidity in the market as such that Bordeaux Index commits to making a market 24/7 on those names

Account – Choose which account you wish to use to buy and sell

Portfolio Category – You can optionally assign each of your wine holdings to a Category. You can maintain your list of categories within Portfolio Manager here. (link). You can add as many other categories as you need and use them to group your assets in useful ways e.g., wines belonging to certain family members or earmarked for a particular event

Storage Location – Identify the location where your wine or whisky is stored. Assets outside of Bordeaux Index warehouses can now be added to your portfolio, as long as they are professionally stored in the UK or Europe

Case Type – This is a description of the packaging, typically limited to original case (OC)

Condition – Highlight if your wine/whisky is in pristine, or non-pristine condition

Purchase Date – The date you purchased the product

Unit Size – Size in cl of units containing wine/whisky

Unit per Pack - The number of units in each pack

Reference - Your own reference for the product if applicable
